LinuxCon Europe/Embedded Linux Conference Europe Sponsor...

Thank you for your support of LinuxCon Europe 2012 and the Embedded Linux Conference Europe 2012 in Barcelona, Spain this November 5th-9th. This guide will provide you with all of the information you need to enhance your participation. In addition to a recap of the benefits provided to you, and how to utilize them, this guide also includes all the information you’ll need to participate in the Technology Showcase. Fulfilling Your Sponsorship Benefits…

1. Logo on Website, Conference Guide and Sponsor Signage

Your logo should already appear on either the LinuxCon Europe and/or the ELC Europe event websites. If you would like to make a change to either the graphic file, or the url it is directed to, please email that request to Maresa Fowler at maresa@linuxfoundation.org.

Please email a hi-res (ai or eps) version of your company logo to Maresa Fowler by Friday, October 5 so we may use this for the conference guide and all printed signage.

2. Sponsor Attendee Passes

Each sponsorship comes with complimentary attendee passes, which you may use for employees of your company, or gift to customers or colleagues. Register Your Passes.

For each attendee, click on Sponsor Registration and enter the discount code:

For LinuxCon Europe: LCESPR12
For ELC Europe: ELCESPR12

Please note that each sponsorship levels receives the following number of complimentary passes.

Platinum: 20
Gold: 15
Silver: 10
Bronze: 5

Anyone from your company that is speaking at LinuxCon Europe 2012 or ELC Europe 2012 should use the speaker discount code that they received from our Program Manager.

3. VIP Dinner Passes

Each sponsorship level receives the following number of passes to attend the VIP Dinner at LinuxCon Europe/ELC Europe on Wednesday, November 7th.

Platinum: 10
Gold: 6
Silver: 3
Bronze: 1

Please note that RSVPs are requested via the online registration form. We will be checking the VIP Dinner pass usage on a regular basis and will contact you if you surpass the allocated amount of passes included with your sponsorship.

Sponsors may also purchase passes for up to three additional guests for $75 each. This option is also available on the registration form.

4. Private Meeting Rooms

Platinum and Gold sponsors will be provided with meeting rooms at the Hotel Fira Palace for their private use Monday, November 5 - Wednesday, November 7. If you would like to order A/V equipment, food & beverage, or anything else for this room, you will need to contact Annie Nicolau at annie_nicolau@fira-palace.com to place orders. The Hotel Fira Palace will bill you directly for any orders you place.

You will be notified of the name and location of your private meeting room by Friday, October 19. Room keys will be available for pick up at the Registration/Information Desk beginning Monday, November 5 at 8:00am.

Silver and Bronze sponsors will have access to reservable meetings rooms that will be available to book on an hourly basis for private use throughout the event. Please visit the information desk onsite to reserve a time slot. Special orders for A/V cannot be made for these rooms. You may call Room Service to order food & beverage once in the room.

5. PR & Media Announcements

Reach the influential Linux and open source media community at LinuxCon Europe/ELC Europe 2012! These are the year’s must-attend events for reporters, bloggers and analysts who cover Linux and open source technologies. Take this opportunity to make announcements at LinuxCon Europe/ELC Europe and increase your media coverage and brand visibility. We can work with you to share your message through our media channels and with our press both onsite and participating online.

Platinum and Gold sponsors will have access to a pre-event press/analyst list and can receive additional assistance from our Communications Department to gain even more visibility at the event. Please contact Jennifer Cloer, Director of Communications, at jennifer@linuxfoundation.org.

6. Sponsor News Page

All LinuxCon Europe and ELC Europe sponsors will be noted on our sponsor news pages. Platinum and Gold sponsors may include a message, up to 100 words for Platinum sponsors and 50 words for Gold sponsors, which will be promoted in pre- and post-conference attendee emails. Please send your verbiage to Maresa Fowler at maresa@linuxfoundation.org by Friday, October 12th.

7. Collateral

Platinum and Gold sponsors will have the opportunity to distribute one piece of collateral in the conference attendee bags that will be handed out at registration. Please let Maresa Fowler know by Friday, October 12 if you would like to take advantage of this opportunity and what you plan to include.

All collateral should be shipped to Barcino - our exhibit services vendor - by Thursday, November 1. Please complete the form on Page 3 of the Barcino Shipping Services Document and email this to barcinoservis@barcinoserviciosintegrales.com by Monday, October 29. Details on how to label your boxes can also be found in the shipping document.

Please note on each box the total number of packages (ie box 1 of 3) and list that this is "Collateral for The Linux Foundation" so that we can be sure all packages are received.

The Technology Showcase

Location

Ground Floor and Lower Floor - Hotel Fira Palace, Barcelona, Spain

Please see maps below for a layout of the conference space, and the Technology Showcase displays. If you have a preferred booth number/location, please email your choice to Maresa Fowler, otherwise you will be assigned a display location and notified of that location by Friday, October 12th.

Booths will be located on the Ground Floor and the Lower Floor of the Hotel Fira Palace, and all booths will be easily accessible to attendees as conference sessions will be held on both levels of the hotel. While you are not required to staff your booth for the duration of all hours, it is encouraged to have a display of some sort in place the whole time.

Technology Showcase Hours

Monday, November 5th: 10:30am - 7:00pm
Tuesday, November 6th:10:30am - 4:30pm

Please note that on Monday evening, directly after the conference, we will have a “Booth Crawl” for attendees to visit each of the various sponsor booths. Drinks and light hors d’oeuvres will be served.

Display Design & Décor

Each sponsor will receive a complimentary custom display counter (see Option A below) which will include your logo on the front of the counter. The counter is 150CM x 50CM x 100CM.

If you would like a different display, we are offering two secondary options:

Option B: A kiosk with a graphic header and graphic panels around the front and sides of the cabinet. The kiosk is 100CM x 50CM x 100CM. There is no additional cost for this display. (Please note that the TV is not included but can be ordered for an additional cost through Barcino).

Option C: A custom counter and back wall with graphics on the front panel, header and back wall above the cabinets. The counter is 200CM x 50CM x 100CM plus the back display. Including the graphics, the cost of this upgrade is 658 Euros (approx. USD$852) which is VAT inclusive. Payments can be made directly to Barcino through Eulàlia Casulleras at ecasulleras@barcinoserviciosintegrales.com. Please note the following payment terms: 50% due (15) days before the conference begins, 50% due (7) days after the event.

If you would prefer not to use any of the above display options, you will be provided a standard table and chairs and you will be responsible for any additional furniture needed. Each display includes two electrical outlets, wireless internet access, and two bar stools. If you require additional A/V equipment, please order through Barcino by emailing your request to Eulàlia Casulleras at ecasulleras@barcinoserviciosintegrales.com. Should you wish to order hard lined internet, please email Maresa Fowler at maresa@linuxfoundation.org by Friday, October 26 so we can order this for you.

YOU MUST CONTACT MARESA FOWLER BY FRIDAY, OCTOBER 5TH WITH YOUR DISPLAY CHOICE. IF WE DO NOT RECEIVE YOUR SELECTION BEFORE THE DEADLINE, WE WILL ASSUME THAT YOU WILL BE DECORATING YOUR OWN AREA AND THAT YOU WILL NOT REQUIRE ANY DISPLAYS TO BE PREPARED BY US.

Shipping

Due to limited storage at the Hotel Fira Palace, we require all shipments be sent directly to Barcino. Please complete the form on Page 3 of the Barcino Shipping Services Document and email this to barcinoservis@barcinoserviciosintegrales.com by Monday, October 29. All shipments must be delivered by Friday, November 2 and all boxes must be properly closed and packed, duly labeled with the following information:

Security & Storage

We will provide a room at the end of the conference hours each day in which to store equipment that you don’t want to keep at your display. Please visit the LinuxCon Europe/ELC Europe Information Desk onsite if you would like to store or remove equipment from the storage room.

With that said, The Linux Foundation, the Hotel Fira Palace, Barcino, nor any employees, staff, vendors or contractors of these organizations can be held liable for lost or stolen items.

Lead Retrieval

Sponsors will be provided one complimentary barcode scanner for lead retrieval information. Additional scanners are also avilable to rent for US$100 each. Please note that additional scanners must be reserved in advance so please send your request to Maresa Fowler by Friday, October 19th.
